Online Gallery Settings in the Dashboard

The Online Gallery settings in the dashboard give you everything you need to manage your event gallery, upload and download images, share your gallery, view analytics, and control access to your online gallery.

1. Open Your Event

To access your Online Gallery settings:

  1. Go to the LumaBooth Dashboard.

  2. Find the event you want to manage.

  3. Select the event.

Once you open the event, you will see the Online Gallery dashboard with the available gallery settings and management tools.


2. Understanding the Online Gallery Dashboard

At the top of the event dashboard, you will see several sections showing the activity and settings for your Online Gallery.

Sessions, Images, and Videos

The first section shows an overview of the content in your gallery:

  • Sessions – The number of gallery sessions associated with the event.

  • Images – The total number of images currently available in the gallery.

  • Videos – The total number of videos in the gallery.

  • Analytics – Select Analytics to view more detailed information about your gallery activity.

Uploads and Sharing

The next section shows how content has been uploaded and shared:

  • Uploads – The number of items uploaded to the gallery.

  • Email – The number of times content has been shared by email.

  • SMS – The number of times content has been shared by SMS.

  • WhatsApp – The number of times content has been shared through WhatsApp.

  • Shares – Select Shares to view sharing activity.

The total shares count is displayed underneath these statistics.

3. Accessing Your Online Gallery

The Link Sharing section lets you control whether your Online Gallery can be accessed using a shareable link.

When Link Sharing is ON:

  • A shareable gallery URL is displayed.

  • Select Copy to copy the gallery link to your clipboard.

  • Select the Share icon to share the gallery link using the available sharing options.

  • Guests can access the Online Gallery using the shared link.

Turning Link Sharing On or Off

Use the toggle next to Link Sharing to change the gallery's link-sharing status.

ON: The gallery link is active and can be shared with guests.

OFF: The event link is disabled and guests cannot access the gallery through that link.

Tip: If you want to send your gallery to guests, make sure Link Sharing is turned ON, then select Copy to copy the gallery URL.

4. Event Name and Date

Below the gallery statistics, you will see the event name and event date.

The pencil/edit icon next to the event name or date allows you to edit the displayed event information.

5. Gallery Management Tools

The toolbar below the event information gives you access to the main Online Gallery management tools.

Download All

Select Download all to download all of the available gallery content.

Upload

Select Upload to add images or other supported content to the Online Gallery.

Uploading photos requires the upgraded Plus plan for FotoShare Cloud.

Uploading videos requires the Business plan for FotoShare Cloud.

If your current plan does not include the required upload feature, you will need to upgrade before uploading that type of content.

Embed

Select Embed to access options for displaying your Online Gallery on another website or webpage.

Analytics

Select Analytics to view more detailed information about your Online Gallery activity and engagement.

Access to the Analytics features requires the Business plan for FotoShare Cloud.

You can also access analytics using the Analytics link in the Images section at the top of the dashboard.

Slideshow

Select Slideshow to display the gallery images as a slideshow.

Shares

Select Shares to view information about how your gallery content has been shared.

The dashboard tracks sharing through:

  • Email

  • SMS

  • WhatsApp

Delete Event

Select Delete Event to delete the event and its associated content.

Important: Deleting an event can permanently remove its gallery content. Make sure you no longer need the event or its files before using this option.

6. Selecting Gallery Images

At the bottom of the dashboard, you will see the Select all option.

Select Select all to select all available gallery items. You can then perform the available actions on the selected items.


Additional Online Gallery Settings

There are additional settings available for your Online Gallery beyond the options shown on the event dashboard.

To access these settings:

  1. Open your event in the LumaBooth Dashboard.

  2. Go to the Settings menu.

  3. In the left-hand navigation menu, scroll to the Printing & Sharing section.

  4. Select Online gallery.

This opens the Online Gallery settings page.

The Online Gallery settings are divided into two main areas:

  • Privacy

  • Website


Privacy Settings

The Privacy tab controls how guests access and interact with your Online Gallery.

Link Sharing

The Link sharing setting controls whether people with the event link can access the gallery.

When enabled, the event's gallery URL is displayed. You can select Copy to copy the link and share it with your guests.

Guest Access

The Guest access setting controls whether guests can see other guests' images and videos.

When Guest access is ON, guests can view content uploaded by other guests to the event gallery.

Download All

The Download all setting controls whether viewers can download all of the event content.

When enabled, viewers can download all available event content.

Password Protection

The Privacy settings also include an option to protect the event gallery with a password.

You can enter a password that guests must provide to view the event.

The password can be left blank if you do not want to require a password.

If password protection is not included in your current plan, the setting will appear disabled and an Upgrade to enable option will be shown. A plus plan is needed to be able to use this feature.


Website Settings

Select the Website tab at the top of the Online Gallery settings to configure website-related options for your gallery.

Event Website

The Event website setting allows you to enter a URL for the event's website.

For example, you can add the website for the event, company, wedding, or other occasion associated with the gallery.

The website URL can be used as the destination for the event website link displayed in the gallery.

If this feature requires an upgraded plan, an Upgrade to enable button will be displayed.


Customizing the Online Gallery

The Online Gallery settings also include options for customizing how your gallery looks.

When editing the gallery, you can see a preview of how the event page will appear.

Edit and Preview

The gallery editor provides two main options:

  • Edit – Opens the available customization settings.

  • Preview – Shows you how the Online Gallery will look before sharing it with guests.

When editing the gallery you can see a preview in both Desktop and Mobile formats, allowing you to check how the gallery will appear on different devices.

Text Color

The Text color setting allows you to choose the color used for text on the event gallery page.

A color value can be entered or selected using the color picker.

Background Color

The Background color setting controls the background color of the event page.

You can select a color to match your event or branding.

Logo

The Choose logo section allows you to select a logo for your Online Gallery.

You can choose from available logos or upload a new logo where the feature is available.

If logo uploading is not included in your current plan, the option will appear faded and display Upgrade to enable.

Background Image

The Background image setting allows you to add an image that is used as the background of the event page.

The background image repeats vertically across the page.

If the feature requires an upgraded plan, the upload area will appear disabled and an Upgrade to enable button will be displayed.

Event Banner

The Event banner allows you to add a banner displayed at the top of your event page.

The banner can link to your website instead of the account logo.

As with other plan-dependent customization features, the option may appear disabled when it is not available on your current plan.

Note: Features that appear faded or show Upgrade to enable are available only with an upgraded plan. Upgrade your FotoShare Cloud plan to unlock these additional Online Gallery customization options.


Sharing Your Online Gallery With Guests

The easiest way to give guests access to your Online Gallery is through the Link Sharing section.

  1. Open your event from the LumaBooth Dashboard.

  2. Find the Link Sharing section.

  3. Make sure the toggle is set to ON.

  4. Select Copy to copy the gallery URL.

  5. Send the copied link to your guests.

You can also select the Share icon next to the gallery URL to access the available sharing options.

The Online Gallery dashboard and settings provide a central location for managing your gallery, controlling guest access, customizing its appearance, sharing it with guests, and managing your event's images and media.
